There are generally 2 types of tasks that fall into Quadrant one - tasks that could be foreseen, and tasks that couldn’t. If you find yourself stuck on Urgent and Important tasks and always up against a deadline on work that could have been foreseen, then maybe more focus needs to be put into quadrant 2 and planning your workload.
2. Not Urgent but Important
These are the tasks that you need to do to achieve your goals. It could be sorting out a new marketing strategy for your salon, or learning a promising new treatment that could boost your profits. By staying on top of Not Urgent but Important tasks, you will remove time sensitive tasks, hopefully reducing some work stress and freeing up some social time for yourself.
3. Urgent but not Important
Often tasks that fall into this category are other people's problems. Unnecessary emails are often a killer for productivity. If you can schedule your emails for a certain time of the day and smash them all at once, rather than as they come in, it may help claw back your time. Often a lot of tasks that you can delegate fall into this category so don’t be afraid to ask for a little help from time to time.
4. Not Urgent and not Important
Learn to say “No”. Tasks in this quadrant are things you don’t really want to do anyway, and they don’t contribute to anything. Setting boundaries can block these tasks before they get to you, and avoid the friction that can come with saying no.
